Email automation with Grok Bot

Use Grok Bot for email automation that classifies shared inbox messages, summarizes threads, tracks follow-ups and prepares replies without automatic sending.

Short answerGive Grok Bot a dedicated mailbox or delegated shared inbox. Let it classify, label, summarize and draft; keep sending, deletion and sensitive account changes behind approval until each routine is proven.

The business problem

The inbox is often the unofficial operating system of a small company. Orders, invoices, leads, requests and approvals arrive in one queue, then wait for someone to read, route and remember them.

Email automation should make the queue legible before it tries to answer anyone.

What you provide

  • A Bot-owned address or delegated shared inbox, never a founder's personal login
  • Categories, owners, urgency rules and service levels
  • Approved reply examples and signatures
  • The folders, labels and actions the Bot may use
  • A list of sensitive topics that always escalate

A safe rollout

Stage 1: read and report. The Bot classifies new messages and produces a daily queue summary. It does not move, delete or reply.

Stage 2: label and draft. After three correct supervised runs per category, it applies approved labels and prepares replies in the mailbox drafts folder.

Stage 3: bounded routine. Low-risk internal notifications may run automatically. External sending stays gated unless the business has a narrow, tested rule and accepts the risk.

The Gmail API supports mailbox access, filtering, sending and push notifications. Read, compose and modify scopes can be restricted and may trigger Google's verification requirements, so request only the access the workflow needs.

Useful email Bots

  • Inbox Triage Bot for routing and summaries
  • Waiting-on Bot for conversations with no reply after an agreed interval
  • Invoice Bot for extracting attachments into a finance review queue
  • Support Bot for internal context and response drafts

What stays behind approval

External sending, deletion, forwarding sensitive material, unsubscribe decisions with contractual consequences and any account change requested by email. Incoming text can contain prompt injection, so the Bot must treat messages as data, not instructions to expand its powers.

How to measure the result

Track unassigned-message age, first internal action time, drafts approved without edits, missed follow-ups and incorrect routing. Do not optimize for inbox zero if important messages are disappearing into the wrong label.
