Grok Bot for e-commerce ops
A Grok Bot playbook for e-commerce ops: which Bots to create, the routines that work, what to put behind approval, and what we refuse to build.
Who this is for: Store owners and small e-commerce teams.
The Bot team
One Bot per theme, not per task. Each has its own accounts (see own accounts).
Orders Bot — Owns fulfilment exceptions: address issues, backorders, delayed shipments. Shopify/Woo API; customer drafts for approval.
Supply Bot — Owns supplier follow-ups on open POs and low-stock reorder drafts. Own email and WhatsApp Business.
Reviews Bot — Owns review responses in brand voice, for approval.
Routines
- Daily — fulfilment exceptions and customer drafts
- Daily — stock vs reorder points; PO drafts
- Daily — supplier chasing on open POs
- Weekly — review replies
What's behind approval
Refunds, discounts, and any customer-facing send. Supplier emails from the Bot's own address can go unattended once the template is trusted.
What the win looks like
Supplier chasing that actually happens, and a fulfilment exception list before the customer emails.
What we won't build here
Logging the Bot into Shopify admin via the browser (blocked anyway) or into the ad accounts. API and exports only.
Setup and cost
This playbook fits our Setup package at the 3-Bot tier, one week, fixed price. Plan cost is separate: see which plan you need. Every routine ships with a heartbeat line and the spend watcher.
